SaaS B2B Cold Email Template

A proven cold email framework for SaaS companies targeting B2B buyers. Designed for SDRs and founders doing outbound to mid-market and enterprise prospects. Focuses on specific pain points and quantified value props rather than generic pitches.

When to use this template:

Use this when reaching out cold to prospects who fit your ICP but have never heard of you. Best for SDRs sending 50–200 emails/day or founders doing early-stage outbound before hiring sales.

In this template:

  • Subject Line
  • Opening Line (Personalized Hook)
  • Pain/Problem Statement
  • Value Proposition (1 sentence)
  • Social Proof
  • Call to Action
1

Subject Line

Option A: [Specific Pain Point] at [Company Name] Option B: Quick question about [Company Name]'s [relevant process] Option C: [Mutual connection] suggested I reach out Option D: [Trigger event] → thought of [Company Name]

Subject lines under 7 words outperform longer ones. Never use 'I' as the first word. Personalize with their company name or a specific trigger when possible.

2

Opening Line (Personalized Hook)

Hi [First Name], Noticed [Company Name] just [specific trigger: raised Series A / launched new product / expanded to new market / posted a job for X role]. Congrats — that usually means [implied challenge or opportunity] is front of mind.

Spend 60 seconds researching each prospect before sending. LinkedIn, their website, press releases, and job postings are goldmines. This line alone lifts reply rates 2–3x.

3

Pain/Problem Statement

Most [job title]s at [company stage/type] companies tell us [specific pain point — e.g., 'their SDR team spends 40% of their time on manual data entry instead of selling' / 'they're burning $X/mo on tools that don't talk to each other'].

Name the pain before pitching the solution. Prospects need to feel understood before they'll trust your pitch. Use language they'd use, not your internal terminology.

4

Value Proposition (1 sentence)

[Your Company] helps [ICP description] [achieve specific outcome] without [common friction/cost/risk]. Example: "We help growth-stage SaaS teams cut their CAC by 30% without adding headcount — by automating the handoff between marketing and sales."

The formula is: We help [who] [achieve outcome] without [sacrifice]. Lead with the outcome, not the feature. One sentence max.

5

Social Proof

We've done this for [similar company type] — [Company A] saw [specific result, e.g., '47% increase in qualified pipeline in 90 days'], and [Company B] went from [X] to [Y] in [timeframe].

Name-drop real results from companies they'd recognize or relate to. If you can't name the client, use 'a [Series B SaaS company in the HR tech space]' — specificity matters more than the brand name.

6

Call to Action

Worth a 15-minute call to see if we'd be a fit? I have time [Day] or [Day] — just reply and I'll send a calendar link. [Your Name] [Title] @ [Company] [Phone] | [LinkedIn URL]

Ask for something small (15 min, not a demo). Give two time options to reduce friction. Never attach anything — it kills deliverability. One CTA per email, always.

Pro Tips

  • Personalize the opening line for every email — generic openers are the #1 reason cold emails get deleted.
  • Send Tuesday–Thursday between 7–9am or 4–6pm in the prospect's timezone for highest open rates.
  • Keep total email length under 150 words. If you need more, you haven't found the core value prop yet.
  • A/B test your subject lines — small changes (e.g., question vs. statement) can swing reply rates by 50%.
  • Follow up 3–4 times over 2 weeks. Most replies come on emails 2–3, not email 1.

Common Mistakes to Avoid

  • Opening with 'My name is [X] and I work at [Y]' — nobody cares yet. Start with them, not you.
  • Sending the same email to everyone regardless of industry or role — broad targeting kills deliverability and reply rates.
  • Writing a wall of text — most cold emails are read on mobile in under 8 seconds. If it doesn't fit in a preview pane, it's too long.

Cactus insight: We've sent over 2M cold emails across 60+ startups. The emails that consistently pull 8–15% reply rates share one trait: they make the prospect feel like the email was written specifically for them. Personalization isn't optional — it's the entire game.
