Video Prospecting Email Template

Email template for video-based prospecting using tools like Loom, Vidyard, or BombBomb. Personalized video emails stand out in crowded inboxes and humanize outreach — reply rates are typically 2–3x higher than text-only cold emails.

When to use this template:

Use when targeting high-value accounts where personalization is worth the 5-minute investment per prospect. Works especially well for AEs targeting enterprise accounts, or founders doing concierge outbound for early customers.

In this template:

  • Subject Line (with video)
  • Email Body (Short — Let the Video Do the Work)
  • Video Script (90-Second Framework)
1

Subject Line (with video)

Option A: Quick video for [First Name] at [Company Name] [🎥] Option B: I made this for you, [First Name] [▶️] Option C: 90 seconds for [Company Name]'s [specific challenge] Option D: [First Name] — saw [specific trigger], made a quick video

Include a video emoji or '[video]' in the subject line — it signals that the email contains something different and lifts open rates. Test [Video] vs 🎥 vs ▶️ in your subject lines.

2

Email Body (Short — Let the Video Do the Work)

Hi [First Name], Made you a 90-second video — [specific reason: 'I was on your website and noticed [X]' / 'saw your LinkedIn post about [topic]' / 'noticed [Company Name] just launched [product]']. [Embed video thumbnail with play button — use a GIF preview if possible] [Video link: loom.com/share/XXXXX] In it, I cover: → [Specific insight or observation about their business] → [One specific way you could help] → How [similar company] got [specific result] 30 minutes to talk through it? [Your Name] | [Title] @ [Company]

The email body should be minimal — the video is the content. Use a GIF thumbnail or static image with a play button overlay to make the video visually obvious. Include a text link as backup.

Video Script (90-Second Framework)

[0:00–0:10] Hook: "Hey [First Name], I'm [Name] from [Company] — I recorded this specifically for you because [specific reason]." [0:10–0:30] Observation: "I was looking at [their website / LinkedIn / job postings / recent news], and I noticed [specific observation — e.g., 'you're hiring 3 SDRs, which usually means outbound pipeline is the priority right now']." [0:30–0:60] Value: "We help companies like [Company Name] [specific outcome]. [Company A] was in a similar spot and [achieved specific result] in [timeframe]." [0:60–0:80] CTA: "I think there's something worth discussing here — happy to make it worth 20 minutes of your time. Reply or grab a slot at [calendar link]." [0:80–0:90] Warm close: "Either way, [First Name] — [Company Name] is doing interesting work. Good luck with [specific initiative]."

Record in a well-lit space, look at the camera lens (not the screen), and speak at a natural pace. Show their website or LinkedIn profile in the background of the screen recording — it makes the personalization immediately visible.

Pro Tips

  • Show their website or company name in the video background — visible personalization is more compelling than mentioned personalization.
  • Keep videos under 2 minutes — 60–90 seconds is the sweet spot. Long videos signal poor preparation.
  • Record in batches: do your research first, write your talking points, then record 5–10 videos in one session.
  • Use a GIF thumbnail in the email — static images get fewer clicks than animated previews.

Common Mistakes to Avoid

  • Recording a generic video and just changing the intro — prospects can tell when a video was made for them vs recycled for everyone.
  • Recording in a bad environment (noisy, dark, cluttered background) — quality signals professionalism.
  • Sending video to everyone regardless of account size — video works best for high-value targets where the ROI justifies the effort.

Cactus insight: Video prospecting is one of the highest-effort, highest-return outbound tactics we've tested. The key is visible personalization — show their website, say their name, reference something specific. Generic video is just video spam.
